HOSTING POLICY |
The Intent of the IFBA Hosting Policy is to assist Bid Committees to prepare presentations to host the World Broomball Championships and understand the principles of hosting IFBA Sanctioned events. This policy also enables the Bid Committees to work in conjunction with the IFBA Executive to successfully provide the broomball athletes with a safe environment to compete and return safely to their love-ones cherishing the memories and newfound friends the Sport of Broomball has provided as a result of the commitment from the Host Committee.
The Host Committees Responsibilities are guidelines to ensure the Host of an IFBA Sanctioned event understands the commitment to the event financially and logistically. The responsibilities will clearly identify costs associated with hosting the World Broomball Championships and can also be used for secondary IFBA Sanctioned events. Secondary events for the purpose of clarification relate to:
- Pacific Rim Broomball Championships
- European Broomball Championships
- Asian Invitational Sanctioned Events
- North American Sanctioned Invitational Events

Chapter 1 HOST COMMITTEE RESPONSIBILITES
- Host Committee Preparation
- Organizational Chart (See Annex A page 40)
- The Host Executive Committee list must indicate phone, fax numbers or e-mail addresses of the major contact people.
- The Host will be required to provide an organization chart indicating the key committee positions and responsibilities incorporating positions such as:
- Event Chair/President
- Co-Chair
- Secretary
- Treasurer/Finance
- Technical Director
- Special Events
- Marketing Promotions
- Event Services
- Awards
- Event Office (Hosting Cost)
- The Host is to indicate where the event office will be located and forward the address information to the IFBA General Secretary with phone/fax numbers and email addresses.
- Staffing (Hosting Cost)
- Staff information and positions are to be submitted to the IFBA Office and hours of employment.
- Event Logo (Hosting cost)
- The event logo must be the one pre-approved by the IFBA during the bid presentation.
- IFBA Hosting Contract
- The IFBA World Championship Hosting Contract will be provided to the successful bid applicant by the IFBA General Secretary prior to the end of the current event.
- The IFBA World Championship Hosting Contract is to be signed and returned 60 days after the event is awarded to the successful bidder.
- Failure to comply may result in forfeiture of the event and funds collected to date and furthermore, the event awarded to the second bid.
- Major Airports
- A major airport must be within three hours driving distance to the Host City.
- Ground transportation must be available from the major airport for team transportation.
- Concessions may be granted if the bid presentation has specifically requested the IFBA review the circumstances of airport locations.
- The Host is responsible for the transportation of the IFBA Executive from the airport to the host site and return on completion of the event. (Hosting Cost)
- The Host is responsible for greeting the guests as they arrive and assist in moving the groups to the facilities for the event.
- The Host should communicate with the airport authority reference the event and team arrivals.
- Hotel Accommodations
- Securing Local Properties
- The Host is responsible for securing sufficient properties to accommodate the teams based on double occupancy. The Host should keep the Hotels within a reasonable distance of each other to reduce travel for special events and allow the athletes and opportunity to socialize.
- The Host should negotiate the best rates for the event based on the hotel amenities noting there should be three levels of hotels from low end rooms (3 star) to moderate rooms (4 star) to the high end (5 star) with amenities for the guests. Example Rates:
- 3 star rates 60.$CDN to 90.$CDN
- 4 star rates 90.$CDN to 120.$CDN
- 5 star rates 120.$CDN to 150.$CDN
- Commissions should be negotiated back to the Organizing Committee at a minimum of 8% for the Host and 2% for the IFBA based on the amount of the net revenue of the Hotel bookings.
- It would be in the best interest of the Host Committee to negotiate advertising with the hotel as an incentive for the property to be used for the event. (Past events charged the properties 1,000.00$ CDN for the right to be part of the event outside the 8 & 2% negotiated commissions and additional comp rooms).
- The Host Committee is to negotiate complimentary rooms (1 for every 20 rented). This will assist to accommodate special guests and IFBA Executive members. (Hosting Cost)
- The Host is responsible for securing accommodations for IFBA personal (total of 10 rooms) based on: (Hosting Cost)

- Officials Assistant
- Host Hotel
- The IFBA Executive should be accommodated in the Host property.
- The Host Hotel must have meeting rooms large enough to sit 30 people in a Board Room setting. The Host should negotiate these rooms as complimentary for the term of need.
- The Host Hotel should have catering services to facilitate the IFBA meetings.
- Officials Accommodations (Hosting Cost)
- The Host is responsible for the Officials accommodations in one hotel based on 2 people sharing. Maximum rooms required 12 unless otherwise indicated by the IFBA Chief Official.
- Arrangements are to be made by the Host to secure a room large enough for the officials to use for group meetings and socializing
- The Host is responsible for arranging a meeting room for the Officials Clinic prior to the competition.
- Meeting Rooms (Hosting Cost)
- The Host is responsible for booking meetings rooms associated with the event. Events requiring rooms:
- Executive Meeting (Boardroom Host Hotel)
- Friday/Saturday/Sunday
- Board room for 9 people
- High speed/wireless internet access
- White board/easel
- Catering (coffee/donuts) arranged and paid by the IFBA.
- Board of Governors Meeting (Host Hotel)
- Monday
- Set up for 30 people (horseshoe configuration)
- High speed/wireless internet access
- White board/easel
- Catering (coffee/donuts) arranged and paid by the IFBA.
- Officials Clinic (Arena facilities are preferable)
- Monday
- Set up for 25 people

- Major Car Rental Agencies
- Team Requirements
- The Host should negotiate rental vehicles for visiting teams based on 3 seven passenger vans per team.
- 32 teams (96 vehicles)
- 40 teams (120 vehicles)
- A Host Committee member should liaison with Team representatives to reserve ground transportation.
- It is in the best interest of the teams to reserve a cargo van for equipment.
- Teams are responsible for all finances pertaining to the rental vehicles.
- IFBA Requirements (Hosting Cost)
- The Host is responsible for obtaining rental vehicles IFBA Executive:
- 3 mid size cars
- Officials Requirements (Hosting Cost)
- The Chief Official will assign drivers for the vehicles.
- 4 seven passenger vans (this may vary pending on the geographic location of the event and the amount of officials required).
- The Host is required to reimburse the IFBA for any fuel cost associated with the vehicles used by the Officials and IFBA Executive.
- Vehicle Insurance (Hosting Cost)
- The Host is responsible to ensure all rental vehicles are insured by the Host.
- Registration/Accreditation Night
- Facilities (Hosting Cost)
- The registration facilities must be large enough to facilitate the number of teams participating in the event. Each location will vary on the size.
- Accreditation (Hosting Cost)
- The Host is responsible for ensuring there are volunteers for the player accreditation (approximately 20). The IFBA is responsible for the event Team Registration.
- Accreditation will take place from 6 pm local time and finish at 10 pm. Those who have not registered during the time must register at the arena prior to their first game. Late registration will be completed by the IFBA VP Tech.
- The Host is to ensure the facility has a room to facilitate up to 70 people for the Coaches Meeting at 9 pm.
- Accreditation is to be provided in the form of individual lanyards and ID’s with emergency numbers and contact information for:
- IFBA Executive/Staff
- IFBA Officials
- VIP’s
- Host Committee
- Media
- Volunteers
- Participants
- Food/Bar (Hosting Cost)
- Host Committees are encouraged to have an area for light food sales (hot dogs/hamburgers/pizza). Food sales have an impact on people staying for the duration of the evening.
- Bar Sales (Hosting Cost)
- The Host has the option of beer/bar sales during the Registration Festival. This is an excellent opportunity to raise funding for the event.
- Trade Show (Hosting Cost)
- The Host is encouraged to market the event as a trade show complete with draped 10 X 10 booths with 1 table and 2 chairs.
- All booth sales will be a cost sharing with the Host and IFBA. Price of the booth space to be agreed upon during the site survey.
- IFBA Sponsors will negotiate space (10 X 30) with the IFBA.
- Entertainment (Hosting Cost)
- The Host is encouraged to create a theme night with entertainment to ensure players remain on site. This also adds to the festive theme of the event.
- Volunteers
- It is imperative for the Host to secure volunteers for the registration night. Job description apart from the registration for this event will be made available during the site visit.
- Schedule of Events
- The Host is to produce a schedule of events for the IFBA during the Registration night pertaining to the various functions arranged by the Host.
- Coaches Meeting
- The Host is to ensure a secure area is made available for the Coaches Meeting. The area is to be verified with the IFBAVP-Tech to ensure compatibility for the number of attendees.
- Souvenir Sales (Hosting Cost)
- All merchandize for souvenir sales will be required to have the IFBA logo as part of the designs. Designs must be approved by the IFBA prior to production.
- IFBA Souvenirs may also be available for sales by a member designated by the IFBA.
- Souvenir sales will be on the agenda for the Site Survey.
- Photographer
- The IFBA recommends the Host provide a photographer for the event. Team pictures can be pre-arranged prior to the event and scheduled at the arena or in a specified area of the registration venue.
- Opening Ceremonies (Hosting Cost)
- The Host has the option of conducting the Opening Ceremonies at the Registration/Accreditation Night or at the arena on the ice. This is the main event prior to the competition and should be a high point of the event. All cost associated with the Opening Ceremonies are the Host responsibility.
- Civic Reception Optional (Hosting Cost)
- Invitations
- The Civic reception is for the Host to invite local politicians, corporate sponsors, media personalities, sports personalities to say thank you for the opportunity to Host the event in their city and also to have all the representatives in attendance to thank the Host for the commitment to stage the event.
- Facilities
- The facilities for the reception should be moderate for approximately 150 guests in a location not too far from the athlete’s accommodations. The Host hotel may be able to facilitate this event at a modest price.
- Catering (Hosting Cost)
- The Host may choose to have a host bar (no cost to the people attending) or no-host bar (people pay for their drinks).
- The Host is responsible for the cost of the catering for this event.
- Marketing/Advertising
- The Marketing Chairperson is responsible to ensure the event reaches out to the corporate sector for the event fundraising. He/she may be tasked with advertising which is a very important component to the success of the event.
- The General Secretary will provide necessary logo associated with the event advertising.
- The Host is to ensure IFBA identification is association with all print advertising indicating IFBA Sanctioned Event.
- Press Release
- The Host is encouraged to send out press releases 6 weeks prior to the event and weekly thereafter until the final week when the releases should be every other day.
- Event Programs (Hosting Cost)
- The Host is to ensure event programs are produced understanding the IFBA has specific pages allotted for IFBA Sponsors, game schedule and team rosters.
- Media Interest (Hosting Cost)
- The Host is encouraged to participate with local media outlets advertising the event.
- Technical
- Competition Facilities (Hosting Cost)
- Securing Ice Times
- The Host is financially responsible for all costs associated with ice bookings (not including clinics & practice ice)
- The IFBA VP-Tech will communicate with the Host Technical Coordinator to ensure an understanding of the ice requirements is understood three years in advance of the event for the bid presentations. Ice requirements include:
- Coaching Clinic
- Officials Clinic
- Practice Ice for teams
- Competition ice from Tuesday to Saturday
- Ice markings are to be in accordance with the IFBA Rule Book and coordinated with the IFBA Chief Official.
- The Host should inquire with the ice arena staff to place corporate identification on the ice at a cost to the sponsor.
- Statistical & Stats room (Hosting Cost)
- The IFBA will provide a comprehensive statistical program for the World Broomball Championships which is also adaptable for any Sanctioned IFBA event.
- The IFBA will provide the Host with a qualified statistical person as per the following:
- The Host is to compensate the stats person SEVENTY-FIVE dollars CDN (75.00$ CDN) for each day of the event up to and including the day of departure. (Monday to Sunday 6 days)
- Host is responsible to ensure a suitable area is assigned for a stats room away from the competition area (for privacy).
- The area must have high-speed/wireless internet connection.
- The Host is responsible for ensuring compatible equipment is available for the IFBA Stats Program: (Hosting Cost)
- Sample of equipment:
- Computer (to be confirmed with the IFBA IT)
- Photocopier/paper
- Communications/Radios (cellular phones)
- Easel/whiteboard
- Desk/chairs
- Telephone/fax
- IFBA Event Office (Hosting Cost)
- An area is to be available for the IFBA Exec to meet and work without distractions. The office or room must be a lockable secure area and have:
- High speed/wireless internet access
- Working desks/chairs
- Easel/whiteboard
- Printer
- Photocopier
- Stationary
- General Host Committee Room (Hosting Cost)
- An area for the teams to receive information or connect with the Host on event matters. The area is also used for volunteers to relax.
- Equipment Sales
- The Host will be required to ensure space is available at the main venue for the IFBA to sell sponsor equipment.
- Bars/Restaurants
- The Host is encouraged to have facilities with food services for the athletes. The sale of beer is at the discretion of the Host.
- Change Facilities
- All competition venues must have change/shower facilities with locking rooms for team equipment and personal security.
- Officials rooms
- The game officials are to have a separate room complete with showers and personal lockers.
- The Host is to make arrangements for oranges/water for the officials.
- Stats Board (Hosting Cost)
- The Host is responsible to produce statistic boards for all individual facilities for all divisions. The stats board is to be coordinated with the IFBA VP Tech and Host Tech. Maintaining the board during competition is the responsibility of the Host.
- The IFBA Logo must be incorporated on all the stat boards.
- Volunteers
- The Host is encouraged to have volunteers at the arenas to assist teams to the assigned dressing rooms and runners for the Technical people at the arena.
- Minor Officials (Hosting Cost)
- The Host is responsible to have minor officials scheduled for all games during the competition. The Host is responsible for any financial compensation for the timekeepers should issues with volunteers arise.
- Communications (Hosting Cost)
- The Host is to ensure the IFBA have communications available during the event (cellular phones/radios/pagers).
- The Host is to provide laminated cards with emergency numbers and contact numbers for the Host Committee.
- VIP Lounge/Area
- If conducive in the main venue the Host has the option of providing an area for dignitaries to socialize and international representatives to conduct informal meetings.
- Officials (Hosting Cost)
- The Host is responsible for supplying 6 Certified Officials for the event. The Host may have local officials certified by:
- Contacting the IFBA Chief Official to make arrangements for a special qualification clinic during the Site Survey. (Hosting Cost)
- The Host is responsible for payment to the officials as per the following:
- Regular on-ice official
- FIFTY dollars CDN (50.00$ CDN) for each official based on the day after arrival up to and including the day of departure. (Monday to Sunday 6 days)
- Administrative Official (Host official to work with the IFBA Chief Official)
- SIXTY dollars CDN (60.00$ CDN) for each day of the event up to and including the day of departure. (Monday to Sunday 6 days)
- IFBA Chief Official (CO)
- SEVENTY-FIVE dollars CDN (75.00$ CDN) for each day of the event up to and including the day of departure. (Monday to Sunday 6 days)
- All funds pertaining to officials payment is to be submitted to the IFBA Treasurer at the Registration night and disbursed by the Chief Official.
- The Host is responsible for providing Banquet tickets for all event officials.
- Protest Committee
- The Host is to supply 5 people to act as the Protest Committee should the need arise.
- The people will be requiring having access to communication during the competition.
- The IFBA Chief Official and VP-Technical will brief the committee prior to the event.
- Closing Banquet
The Closing banquet is the time to celebrate the accomplishments of athletic achievements during the competitive week and to socialize with new found friends. The Host will be responsible for the event. The IFBA Secretary General will ensure a program of events is prepared for the Host Special Events Chairperson pertaining to the awards portion of the event.
- It is the Host Responsibility to secure a venue to accommodate the amount of people as projected by the IFBA for the specific event. The number of people attending the event may vary pending on geographic location of the championships.
- The Host is to ensure complimentary tickets are provided to the following guests:
- IFBA Executive Members
- Officials (IFBA Chief Official to submit the names to the Host)
- Sponsors (Host to coordinate)
- The Host has the option of a Live Band or DJ for the event. The entertainment portion of the event to commence after the banquet, awards and closing speeches have concluded.
- A buffet style banquet is recommended to ensure the event is kept in a timely order with a minimum of 8 lines.
- The Host is to provide a Master of Ceremonies for the event to work in conjunction with the IFBA Secretary General.
- Awards (Hosting Cost)
- A complete list of awards attached (ANNEX A).
- Medals
- Medal distribution is based on the World Championship Categories and Challenge Cup & Club Division (Men, Women, Mixed and Masters (if applicable)) as per the following:
- Gold 22 medals per team
- Silver 22 medals per team
- Bronze 22 medals per team
- Trophy for 4th place
- The host is responsible for the cost of the medals.
- Medals must have the IFBA Logo on the back and the Host logo on the front. Designs must be approved by the IFBA prior to the site survey.
- Trophies
- The Host is responsible for the cost of Keeper Trophies in the Club Qualifier Round (Challenge Cup) for Men, Women, Mixed and Masters (if applicable) based on the following:
- Div 1 & 2 (if applicable) for:
- 1st Place
- 2nd Place
- 3rd Place
- The Host is responsible for the 1st All Star Team Awards based on the following:
- World Cup
- 7 Awards (6 players & 1 coach) Men, Women, Mixed & Masters
- Challenge Cup
- 7 Awards (6 players & 1 coach) Men, Women, Mixed & Masters
- The Host is responsible for the MVP Awards based on the following:
- World Cup
- Men’s Category 1 Award
- Woman’s Category 1 Award
- Master’s Category 1 Award
- Mixed Category 2 Awards (Male & Female)
- Note: The Host will be notified if the IFBA can secure a sponsor for these awards
- Special Recognition
- Special Recognition Awards are at the discretion of the Host for acknowledging contributions by special groups or businesses. All costs associated with these awards are the Hosts responsibility.
- Medical Services
- Host is responsible for medical services during the hours of competition.
- The Host may have physiotherapists or a chiropractor available for the athlete’s. This service can be charged back to the athlete’s.
- Gate Fees
- The Host has the option of charging admission to the event and set the amount for gate fees.
- Athlete’s are not to be charged for admission to the events providing they show accreditation badges.
- Security
- Security should be made available if the main venue has a beer garden. The cost for security will be part of the Hosts responsibilities.
- Site Survey (Hosting Cost)
- The Site Survey is a mandatory requirement to Host the World Broomball Championships. The survey is to be scheduled as far out as 18 months before the event but no later than 12 months. The purpose for the survey is to acquaint the Host Committee with the IFBA Executive and to review:
- Administrative preparation
- Financial status and budget
- Event facilities (registration/Arenas/civic reception/hotels/special events/opening ceremonies/meeting rooms)
- Event marketing
- Registration information and data passed on from the IFBA
- The Host is will be financially responsible to provide the following:
- Air transportation for the President and two members of the Executive.
- Ground transportation
- 1 vehicle medium size
- Insurance and fuel
- Accommodations based on single occupancy for 3 nights (Thursday/Friday/Saturday)
- Meeting room to facilitate the following schedule:
- Friday
- 8 – 12 (Executive Mtg)
- 1 – 5 (Exec/Host meeting)
- 7 – 9 (Exec meeting)
- Saturday
- 9 – 12 (Exec/Host Committee meeting)
- 1 – 4 (Exec Meeting)
- 6 – 10 (Exec/Host Social)
- Event Volunteers
- Numbers of volunteers recommended depends on the complexity of Host Organization in each geographical area.
- An estimated minimum number of 75 people in total would be an initial figure to allow reasonable scheduling/staffing.
- See Annex C for proposed volunteer required work areas
CHAPTER 2 IFBA RESPONSIBILITIES
The IFBA Responsibilities address the financial contribution the IFBA provides the Host or provides personnel to work specific areas the Host is not responsible for. These areas will be clearly identified in this chapter.
- Pre-event Support
- The IFBA is obligated to provide pre-event support for the Host Committee to ensure all Members in Good Standing and future members are made aware of the event, the location of the event and the direct contact information for the Host Committee.
- The IFBA will market the event with the assistance of the Host Committee during sport related trade shows, and pre-event visits to non-member countries to encourage maximum participation.
- The Host is encouraged to provide the IFBA with marketing materials, brochures, destination information for the event site outlining and tourism portfolios for the location.
- Sanctioning
- The IFBA reserves the right to sanction any broomball event conducive to International competition requesting IFBA Sanctioning.
- Designated Host Committees for IFBA events must adhere to the IFBA Hosting Policies or may run the risk of the event Sanctioning removed and the loss of all funds received by the IFBA for the event.
- Team Registrations (IFBA Cost)
- Teams will register on the IFBA web site and make payment through:
- PayPal online
- Certified Cheque to the IFBA
- Direct bank deposit to the IFBA account
- The IFBA will reimburse the Host FIVE HUNDRED dollars CDN (500.00$CDN) for each registered confirmed paid team.
- The IFBA will not compensate the Host in the event a team withdraws from the event and has paid the registration fee.
- The IFBA will withhold 25% of the registration fees until the final 2% of hotel fees are paid.
- Online Technical Support
- The IFBA IT will address any online support necessary to facilitate the needs of the Host advertising the event on the IFBA web site.
- The Host must provide all information pertaining to the event to the IFBA IT department.
- The IFBA IT will ensure the Host Committee has access to specific components of the IFBA web site such as:
- Registration information
- Hotel registration
- Practice ice bookings
- Advertised IFBA Clinics
- Special requests for the event
- IFBA Event Statistician
- The IFBA will be responsible providing the qualified Statistician due to the technology based program used for IFBA Sanctioned events which include:
- Input team names into the data base
- Updating the games as they conclude
- Monitoring all information on the web & statistical program
- Correlating Team stats for awards
- Providing game sheets to all team representatives after each game
- Ensures all files pertaining to the event are copied for the Host and IFBA.
- Event Competition Schedules
- Event game schedules will be produced by the IFBA VP-Technical and Technical Advisor 30 days prior to the event. This is necessary due to the amount of team’s competing and the complexity of the game schedules for each category.
- Event schedules will be predicated on the following:
- Men’s World Championships 8 Teams
- Women’s World Championships 8 Teams
- Mixed World Championships 8 Teams
- Men’s Club Qualifier (CC) 8 Teams
- Women’s Challenge Cup 8 Teams
- Mix Challenge Cup 8 Teams
- Note: v & vi must have a minimum of 6 Teams to run this division.
- IFBA Chief Official (CO)
- The Chief Official is responsible for all certified officials participating in all IFBA Sanctioned events. To ensure certification standards are met the CO will conduct an Officials Certification Course on the Monday prior to the event.
- The Host is to ensure a room and ice time is available for this clinic.
- Assistant Chief Official (ACO)
- The Host has the option of submitting the name of a responsible person with an officiating background, to be approved by the CO, who will work directly with the CO prior to and during the event, or if a name cannot be supplied by the Host the CO will appoint a credible person for the position in the following capacity:
- Ensure all pre-event issues pertaining to the officials are addressed.
- Ensure the facilities have the necessary equipment for the officials.
- Carry out game assessments of officials in accordance with the CO standards.
- Ensure transportation needs are met and assigned to responsible drivers.
- Ensure the Host provides adequate accommodations for the officials and the CO.
- Event Officials (IFBA Cost)
- Approved Registered Certified Officials as per the IFBA Officials database will be the first to be contacted for the event. The IFBA will provide officials in accordance with the IFBA Officials Accreditation Policy:
- Compensation for travel to a maximum of FIVE HUNDRED dollars CDN (500.00$ CDN) for officials traveling by air. The CO will collect tickets upon arrival for compensation.
- For officials traveling by personal vehicle a maximum of FIVE HUMDRED dollars CDN (500.00$ CDN) will be compensated based on TWENTY-FIVE cents CDN (.25$ CDN) per kilometer round trip and paid for gas/diesel. Gas receipts are to be produced to the CO prior to approval of payment.
- The Officials will be provided accommodations by the Host based on 2 people sharing. Female officials will not share with male and rooms will be assigned by the CO.
- Advertising/Marketing
- The Host is required to honor all IFBA Sponsors and Corporate Partners.
- The IFBA will submit all sponsor advertising to the Host and locations during the site survey or 6 months prior to the event.
- The Host is responsible to display visual advertising and provide dimensions of print advertising for the event 6 months prior to the event.
- Event Program
- The IFBA will be entitled to 4 full page advertising for all corporate sponsor advertising.
- Cover advertising for IFBA Corporate Sponsors will be negotiated by the IFBA and honored by the Host. If no cover advertising is committed by the IFBA 8 months from the event the Host will have the option to sell the locations.
- IFBA Sponsors
- The IFBA has the authority to incorporate IFBA Sponsors into events sanctioned by the International Governing Body.
- Issues pertaining to IFBA Sponsors in relation to sanctioned events are to be directed to the Secretary General for clarification.

EVENT VOLUNTEERS
Volunteer planning leading up to the event
- Review volunteer list and call for reminders of tasks a head
- Core placement people to meet and review the arrival calendar for preparations
- Correlate any registration distribution items such as coupons for team registrations
- Ensure all equipment associated with the registration night is place in holding area.
- Ensure all related advertising material is properly assigned and volunteers assigned to installing material
- Communications should be pooled in one area and forms made out for assignments
- Accommodations staff should be contacting hotels with any last minute changes
- Tourism staff to prepare for welcoming of athletes
- Registration night set up should be reviewed and floor plan prepared.
- Registration packets for:
- IFBA Executive 8
- Volunteers 75
- Staff 20
- Officials 26
- Spouses 20
- VIP’s/Special Guests 25
- Participants 775
- Check on IFBA Executive requirements prior to the arrival of the Executive and staff
- Last minute checks at all ice facilities and move associated equipment into place
- Stat boards should be moved to the ice facilities & communications checked.
- Stats room set up should begin with associated equipment
- Water should be picked up and placed in holding areas of each arena.
- Officials accommodations should be checked
- Call any associated people with entertainment and catering to ensure all requirements are met and associated times pertinent to their roles
- Have awards delivered to the holding area in the Host arena and count and inventory the awards/medals
- Collect all merchandize and inventory prior to placing in the holding area.
- Collect all equipment for sales and inventory merchandize prior to placing in the holding area.
- Senior staff to meet and review operations plan & budget

Registration
- Trade Show set up (6)
- Merchandize area set up (4)
- Banners/signage (3)
- Door people (greeters) (4)
- Registration tables (36)
- 6 tables w/6 volunteers per table
- Coordinate times for teams to register
- 1 IFBA supervisor for 2 tables during registration (VP-Ops/VP- Tech/Sec/Treasurer)
- Beer ticket sales (8)
- Moving equipment and information from the holding area (2)
- Set up the bars (8)
- Beer pourers
- To be designated by the Host Committee
- Ensure delivery is made on the Friday prior and inventory completed by the manager of the beer sales.
- Stage set up
- Should be completed by local staff
- Prepare breakout rooms for the coaching meeting and officials meeting (2)
Pre-registration
For IFBA/Staff/Volunteers on the Friday October 29/10
- Volunteers (3) to include volunteer supervisor to assist in orientating volunteers
Signage(3)
- Signage to be coordinated through the local staff and assigned to 1 person to supervise the installation of banners and associated signage at all venues
Communications (1)
- To be coordinated through senior staff and signed out by each individual assigned to specific communications.
- Person in charge is to make arrangements to have the radios/communications on site 1 week prior to the event
Arenas
- Arena managers (5) will be supervised by IFBA Executive members assigned to each arena used for the event
- Arena Assistants (2 per rink)
- The volunteers will work directly with the manager to ensure team dressing room assignments are handled in an orderly fashion
- Ensure game balls are available
- Update stat boards
- Water and oranges are placed in the officials room
- Work with staff during ice floods
- Ensure the timekeeping bench is ready for operation
- Keep the operations rooms clean and coffee made
- Communicate scores to Broomball Central

Awards (2)
- People will take inventory of all awards when delivered on site
- Prepare the specific awards for Saturday’s Final Games to be presented on ice.

- Setup tables near the head table (coordinate distribution with the IFBA General Secretary)
- Assist IFBA General Secretary with distribution of the awards
